How many countries need to be involved in each project?
Each project must involve partners from at least three countries (one Nordic country (applicant) + two Baltic countries or one Baltic country (applicant) + two Nordic countries).
How long can any one visit to another part last?
The length of short-term study visits is between three and ten days; longer placements or training can last up to 20 days.
How much of the cost does the applicant have to cover?
From 2015 the applicant needs to cover at least 40% of the total budget costs which are eligible to be subsidised.
What kind of costs does the mobility programme cover?
The mobility programme covers only costs related to travel (including travel insurance), accommodation and daily allowances.
What costs does the programme not cover?
The only eligible costs under the mobility programme, both from the allocated grant or from the co-financing are the costs related to travel (including travel insurance), accommodation and daily allowances. The programme does not cover any other costs (e.g. salary, catering, rent of rooms, translation etc).
How soon does the support that is allocated need to be used?
Applicants must use the support allocated to them within a year of being informed of the approval of their application. Activities divided into several parts must be carried out within six months as part of a single project.
How to proceed, if the project has a new manager?
If the project manager changes in the course of the project, the programme administrator must be notified without delay, and a new project manager appointed and registered. It can be done via the e-system of the mobility programme. Please follow the the instructions enclosed:
- The new project manager will have to create a personal users account in the electronic application system of the mobility programme at www.nb8grants.org.
- Please insert the name and ID (the ID number is specified in the users profile of the registered user of the e-system) of the new project manager in the e-system; please add a scanned copy of an official signed letter from the home institution of the project manager (applicant), where the home institution confirms the appointment of the new project manager, a short explanation concerning this change is to be presented in this official letter together with the detailed information concerning the new project manager.
- The management body of the mobility programme will change the name and contacts of the project manager in the electronic application system and from there on all information concerning the project will be exchanged with the new project manager. The new project manager will also be responsible for submitting the report on the project in the e-system.
Is it possible to change dates of the activities and participants of the project?
Yes, it is. Any possible changes in the projects supported by the mobility programme should be agreed with the management body of the programme via the e-system before starting the project activities.
The project managers can apply for the following changes:
- change of project manager;
- changes in the timetable of the project;
- changes in the list of participants of the project (some participants may be left out from the original list of individual participants, new persons can be added to the list of participants).
To apply for changes in your project, please click on the "Apply for changes" icon (speaker_notes) in the "Actions" column.
The list and the state of your applied changes of your applications can be found under the submenu "My applications changes".
Please follow the guiding information at the relevant part of your application for inserting the information on planned changes.
How to renounce a project?
For renouncing the grant, please open the report form in the e-system of the mobility programme at www.nb8grants.org (under submenu My reports, your project number), please insert a short explanation under p.4 Description of activities why the project could not be fulfilled, then please press the Renounce button and Send to management body. After that you will receive an automatic e-mail with the sum to be refunded, and we ask you to transfer the allocated grant back to the Management Body of the mobility programme.
